Background

Under the overall responsibility of the Operations Officer and under the direct supervision of the Logistics Manager, the intern will carry out the financial tasks of the Office ensuring transparent use of financial resources and the integrity of financial services.

The intern in the Logistics Service is invited to promote a client approach in full compliance with UNDP rules and procedures, and will work closely with the Office’s Operations, Programme and project teams.

Duties and Responsibilities

Under the direct supervision of the Logistics Manager, the Intern will perform the following tasks, among others:Under the direct supervision of the Logistics Manager, the Intern will perform the following tasks, among others:

Participate in administrative management: (i) establishment of mission orders; (ii) preparation of notes verbales for requests for exemptions from the Office’s goods and equipment, as well as for visas; (iii) photocopying and electronic archiving of administrative documents; (iv)

Participate in the Office’s inventory management activities (office supplies and fuel): (i) conduct inventory exercises to be carried out during each semester; (ii) preparation of internal reports for the management of Office supply stocks; (iii) reporting of the office’s fuel stock; etc.

Participate in property and equipment management activities, in accordance with UNDP property management rules and procedures: (i) identification of the holder of each property; (ii) location of each property; (iii) Labelling of goods ;(iv) Preparation of internal and external transfer documents, etc.; (v) Preparation of the inventory report of durable goods and equipment whose purchase cost is less than $5000, per unit.

Participate in transport management: (i) planning drivers for the movement of staff in Conakry, and in the interior of the country.

Participate in vehicle management: (i) preparation of work requests for maintenance and repairs of vehicles of the UNDP Guinea Office; (ii) preparation of fuel management reports for Bureau vehicles.

Participate in the management of travel, in accordance with the rules and procedures applicable in this area: (i) fulfillment of requests for booking airline tickets; (ii) identification of the direct and economical route; (iii) establishment of analysis tables; (iv) processing of requests for the calculation of DSA for the staff of the Bureau.

Perform other duties as requested by the Organization;

Required Skills and Experience

Formation:

Be a student in Logistics & Transport, Accounting and/or Finance, Business Administration, Business Management, etc. or hold a Bac + 3 university degree in the above mentioned disciplines, or similar of less than one year.

Experiment:

Experience in the above areas will be an asset.

Experience in using computers and office software (MS Word, Excel, etc.); (ii) and the Internet.

Tongue:

Fluent French and beginner in English.

Conditions:

UNDP is not responsible for costs resulting from accidents and/or illness occurring during the internship and therefore the intern will be required to provide proof of enrolment in a health insurance plan;

UNDP does not deal with immigration authorities and therefore the intern will be responsible for obtaining the necessary visas. UNDP can only support me by providing the visa invitation letter, if necessary.

The intern receives a monthly internship allowance in accordance with the current schedule set by Headquarters and all costs related to the internship are borne by the intern;

The intern will accumulate leave at the rate of one and a half days per month. Any unused accumulated leave at the end of the internship will be forfeited. Any unjustified absence during the probationary period exceeding a total of nine days will be deducted from the monthly allowance;

Provide the host office with a copy of all documents prepared by them during the internship.

At the request of UNDP, the intern shall assist in securing ownership rights and transferring them to UNDP in accordance with the requirements of applicable law.

Respect the impartiality and independence required of the United Nations and the host office and do not seek or accept instructions regarding services rendered under the internship agreement from any Government or authority outside the United Nations.

Unless otherwise authorized by the receiving Office, he/she may not at any time communicate to the media or to any external institution, person, government or any other external party, information of which he/she has become aware as a result of his/her association with the United Nations,

The intern may not use the information without the written permission of the receiving office, and this information may never be used for personal purposes. These obligations also apply after the end of the internship at UNDP.

The intern shall refrain from any conduct that would have a negative impact on the United Nations and shall not engage in any activity inconsistent with the aims and objectives of the United Nations.

The intern is committed to complying with the rules and regulations of the United Nations system.

Confidentiality clause: Considering that the radio room handles sensitive and confidential information, any radio operator must be discreet, vigilant, attentive and awake during service hours; Data on UN personnel, their movements, as well as any sensitive information related to the work of staff must remain confidential and must not be published, disclosed, transferred, copied, shared or communicated by any means whatsoever (human, mechanical or electronic); No information shall be transmitted to anyone without the written permission of the RR, his/her Deputy or their alternates; Any deviation or non-compliance with this clause will result in disciplinary and/or administrative measures up to and including the immediate and definitive dismissal of the staff concerned.
