    role PURPOSE

    The position contributes to this goal by providing timely and reliable information, maintains accurate records of financial transactions through establishing accounts and posting transactions in the accounting system for the designated Programme Area.

    Dimensions of the Role

    Responsible for capturing financial data into the system

    Accountabilities

    1. Cash Disbursement

    Reconcile the receipt record with cash receipts and the bank deposit slip

    Prepare and enter Journal entries into SAP for cash receipts and inter-company charges

    Prepare cheques, mobile money and Business on line payments

    Stamp payment vouchers and all supporting documents as ’paid’ as per the Uganda operation Manual.

    Enter all transactions into SAP as per Plan International’s financial procedures

    Prepare fund transfer request for the Program Area when called upon

    Create new vendor bank account details on business online

    1. Record Management

    Maintain payment Voucher files in numerical order.

    Keep proper custody of the embossing machine and paid stamps

    Prepare sampled audit vouchers for review and re-file

    1. Reporting

    Generate detailed transaction report (smart list) for program staff to support review of payments on their projects.

    Reconcile inter-company charges  with finance at country office

    Prepare Mobile Money Reconciliation Statements

    Dealing with Problems:

    Having to make payments for a PO and later finding that the code is not yet entered in SAP.

    Key relationships

    Program Area Accountant: – Working hand in hand towards producing reliable information by maintaining record of financial transaction for the PA.

    All PA staff:-  Daily handling of their requests for payment

    Technical expertise, skills and knowledge

    Bachelors (Hons) degree in Business Administration or Commerce with a bias in accounting.

    At least ACCA or CPA level I

    A minimum of 2 years working experience as an Assistant Accountant in a busy organization.

    Computer literate with ability to work with spreadsheets

    Experience working with an NGO will be an added advantage

    Knowledge of an accounting software package such as SAP,  QuickBooks is desirable

    As a Child Centred Development organisation, Plan International Uganda strives to ensure that children are kept safe in all the areas we operate. The organisation further has a Safeguarding Children and Young People Policy that every staff is required to sign. As a result, this position comes with additional responsibilities for safeguarding children and young people:

    Additional Responsibilities:

    Child Protection Policy Responsibilities (mandatory for all staff)

    Adhere to the Child Protection Policy, Code of Conduct and reporting any CPP issues.

    Responsible for the implementation of the CPP standards as they apply to area of responsibility plus the development of actions to address identified gaps and monitoring their effectiveness.

    Ensure that all Plan International partners, visitors and associates in his/her area of responsibility are provided with, are made aware off and have signed and returned a copy of the child protection policy. Inform the partners, visitors and associates that they must comply with the policy in all contacts and communications with children during their visit.

    10 Sponsorship Commitments Responsibilities

    Understand the sponsorship commitments and support Plan International Uganda team at all times to work with them and meet the commitment to SCs and sponsors.
