Responsibilities;
Ensure adherence with NRC policies, tools, handbooks and guidelines
Ensure proper filing of documents
Prepare and develop status reports as required by management
Manage the administrative aspects of the CD’s meetings, including liaising with participants, logistics, technical set-up, preparing agenda and meeting materials etc.
Support CD in preparations for and follow up of meetings as needed, including coordination of input from relevant Departments and Area Offices, preparation of talking points, meeting summaries, ensure action points from meeting are followed up accordingly.
Manage the administrative aspects of the CD’s travels & field missions. This includes responsibility of liaising with area offices, handling travel arrangements, visa procedures and travel claims etc.
Assists with planning and management of special internal and external functions and events for the CD and the senior management.
Conserves the CD’s time by reading, researching, and routine correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications.
Welcomes guests for the CD by greeting them, in person, screening incoming calls for the CD when so instructed; answering or directing inquiries
Organizing the CD’s office and maintaining confidential files
When requested, sitting on and taking confidential notes of meetings that the CD may have with one or more staff
Coordinate all details related to events such as meetings, social engagements, corporate gatherings/functions, etc.
Coordinate with all work units and departments in the preparation of reports that emanate from the CD’s office including Trimester Reports.
Tabulate and retrieve CD’s official expenditures and claims and his monthly time sheet
Manage the in and out tray of CD ensuring that filing is done in time
Performs any other duty given to his/her by supervisor
The Executive Assistant is expected to be available and reachable also outside working hours and on weekends, and in particular when the CD travels, in case of contingencies that have to be dealt with.
Required Qualification & Skills:
University degree
Strong English & Somali language fluency
Experience from working with administration is desired
Ability to work as part of a team and independently when required
Ability to multi-task
Strong communication skills
Ability to work under pressure
Good IT skills
Good people management & problem solving skills
Good writing skills
Being very organized
What We Offer:
Contract period: up to April 2022, with possibility of extension subject to funding & good performance.
Salary/benefits: According to NRC’s salary scale and terms and conditions.
Duty station: Mogadishu
