Context
Organization mission and objectives
UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works
on the elimination of discrimination and violence against women and girls; the empowerment of
women; and the achievement of equality between women and men as partners and beneficiaries of
development, human rights, humanitarian action and peace and security. UN Women provides support to the Government of Mozambique in meeting its gender equality goals and in building effective
partnerships with civil society and other relevant actors. Placing women’s rights at the center of all
its efforts, UN Women leads and coordinates United Nations system efforts in Mozambique to ensure commitment to gender equality.
Therefore, consolidating the institutional capacity of the Country Office is one of the enablers to increasing delivery. It is in this context that a UNV Operations Support Assistant is needed to help in
facilitating the administrative and system functions that contribute to the country office programme
delivery.
UN Women is currently in the process of implementing a new ERP system. The new system has several devolved functions that have been configured to drive efficiency and effectiveness in the operations of the country office. The ideal UNV Operations Support Assistant will learn the functionality of
the new system, internalize it and share the knowledge and the operations of the system while fulfilling the operations support functions below to speed the delivery of the country office.
Task description
Under the overall guidance of Country Representative and direct supervision of the Operations Manager, the UNV Operations Assistant works and provides support to the operations team ensuring
timely delivery of all administrative services that lead to programme delivery, compliance, systems,
and reporting including the following.
- Initiate micro purchasing of goods and services using the new ERP system.
- Review procurement requests and initiate procurement procedures for office and projects
- equipment, supplies and services, as necessary in line with annual workplan.
- Receipt purchase orders and initiate payments upon receipt of invoices
- Act as a travel arranger including purchase of tickets, Daily Subsistence Allowance (DSA)
- Facilitate knowledge building and knowledge sharing for the new ERP quantum system.
- Support and track the existing systems to ensure timely reporting compliance.
- Support the asset disposal process in line with UN Women policy.
- Support inventory and physical verification control in the office and projects.
- Update the databases or other relevant electronic management systems with asset, human resources and procurement data for use by CO;
- Arrange shipments and conference facilities.
- Process requests for visas for all UN travelers.
- Support the arrange of hotel reservations for visiting UN/UN Women officials;
- Organize hotel and event arrangements for all official UN Women meetings/ functions, engagements, ensure that all requirements are catered for as required;
- Arrange transportation for high-level officials.
- Perform other administrative tasks as assigned by supervisor
Eligibility criteria
Age: 18 – 80
Required experience: 3 years
Nationality: Candidate must be a national or legal resident of the country of assignment.

Skills and experience
- Experience in the usage of computers and office software packages (MS Word, Excel, etc);

- Previous experience as a volunteer and/or experience of another culture, (i.e. studies, volunteer work, internship) would be highly regarded

Living conditions and remarks
As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. This position is based in Maputo. National UN Volunteers are part of the malicious insurance plan. National UN Volunteers are expected to be culturally sensitive and adjust to the prevailing culture and traditions.
Conditions of Service for national UN Volunteers
The contract lasts for the period indicated above with possibility of extensions subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment.
The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents – except for UN Community Volunteers), as well as final repatriation (if applicable).
